компания "manpower" reception/office services administrator plays an integral customer service focused role supporting kazakhstan office colleagues in areas of office services, facilities, reception, it and connectivity and performs a variety of administrative and clerical activities that collectively contribute to the functionality and appearance of the office. job responsibilities: represent company as the first contact point: telephone, fax, e-mail and mail (mail, courier deliveries, messengers), evaluate and redistribute all incoming information, acting as the first point of contact for colleagues and leadership support visitors, manage access control system and assign office access cards review daily meeting room booking schedule and support conference room set-up provide mailroom support, including processing/sorting mail, preparing packages for shipment support emergency response, act as security coordinator, fire marshal and first aider for office, be first point of contact for building management and hep with relevant real estate inquires ensure security and confidentiality within office, including liaising with building security and coordinating disposal of confidential documents overall responsibility for facility service as cleaning and maintenance of the office. assist in maintenance of physical space, including maintaining and deploying office technology/equipment (e.g., hdvc, laptop projectors, copiers, telecom) and supporting employee office set-up and relocation responsible/control work of service staff as well as ordering repairs as needed, supervising workers in confidential areas or arranging security support to it team: maintain it ticketing tool and help to issue/ return relevant it equipment to/from colleagues, maintain relevant it databases (e.g. inventory, access control, rooms booking system etc.), maintain it stock and help the team meet their performance goals overall responsibility for office supplies stationery (e.g., office supplies, printer toner, business cards, it parts etc.), food and other external vendors - negotiate prices, control deliveries, manage quantity, work with complains responsible for external suppliers – sourcing, contact, orders, invoices, contracts, price negotiating, help in invoice processing and accounting related data entry for external vendors and support office purchases process, liaise with vendors and collect primary accounting documents, responsible for document management etc. provide interstate as well as international taxi service to members of the kazakhstan office and other offices via company drivers and external taxi companies support firm members by travel arrangement; closely cooperate with external travel vendor on different issues, e.g. flight & hotel bookings, entry visas preparation, registration of foreigners if required etc. support firm members by report production and translation/ interpretation service arrangement, closely cooperate with external vendor on different issues coordinate catering for on-site catering events and meetings, including assisting clients/visitors and maintaining kitchen/food/beverage supplies, as needed operate centralized duplicating and binding equipment, as needed responsible for client and office event management, as needed support special initiatives in relevant areas, as needed, e.g. green initiatives, experience undertake special tasks requested by administration manager provide backup support for other office services role knowledge and skills required: 2-3 years general office experience preferred, ideally in a professional services environment in international company extremely strong customer-service orientation with a positive can-do attitude service oriented, great interpersonal skills and teamwork high degree of accountability, attention to detail, common sense and an ability to multitask ability to successfully manage internal and external (vendor) relationships excellent verbal and written english language skills basic it knowledge and technical skill proficiency in microsoft word, excel, and microsoft outlook
