Vacancy: Key Team Administrator / Assistant Arcanis Capital has just started in Switzerland and is focused on a new BIG Picture view approach to Venture Capital investment management. We provide the most efficient access to high-return and moderate-risk asset classes of private equity in late- and mid-stage VC-funded companies for Swiss Asset Managers, Family Offices, and HNWI. We are an agile and disciplined team of investment and transaction management professionals distributed across Switzerland, Cyprus, and Indonesia, with 7 core team members. Responsibilities: Support and drive diverse tasks and initiatives within Arcanis Capital’s business (from printing business cards to maintaining crucial operational process/tools in Admin role). Basic Cashflow control functions and execution, other basic tools to keep team in sync and harmony. Update PowerPoint presentations for meetings and seminars. Drive Sprint planning and follow up, take part in key meetings and prepare meeting minutes and collect and systemize al relevant data in company data structure. Take care of company and key stakeholders calendars, updates and communication. Organise travel, transport & hotel arrangements and arrange travel itineraries as required. Administration support to the remote office, including supporting senior members of staff and sales team. Day to day running of external official communications and follow up including meeting organization and follow ups. Watch and synchronize company website and social media websites. Sorting documents, basic legal paperwork. Organising diaries of senior members of staff. Manage own workload and that of the team, in order to project deadlines. Oversight of the work of colleagues. Personality: Systematic, organized, integral, proactive, easy with multi-tasking, pays attention to details Caring, supporting, good in communication with people Capable to push things forward when needed, not annoyed with routine repeatable tasks Expertise must-haves: Work with international multi-cultural remote teams Fluent English (verbal and written communication in English expected daily), fluent Russian Experience in making official communication in English inside and outside the company Systematic accuracy in following up on tasks, processes, understanding prioritization Experience with MS Office and Google Docs Experience with SaaS team management and remote business automation tools Strong pusher to make the teamchr(39)s tasks completed on schedule, understanding dependencies Optional Basic project financial management functions: - Budgeting - design, tools, execution, process management with proactive follow-ups - Legal entities administration support - oversee activities of fiduciary suppiers and corporate administrators, and be the point of contact for them on behalf of shareholders - Run management accounts - gather financial info from various legal entities into a unified management reporting tool - Oversee revenue inflows - keep track of fee payments from contracted sources Work format and terms Full remote. Exclusive occupation. Possible but not compulsory business trips to Switzerland and/or Cyprus. Monday-Friday. Full workday, Full-time, flexible working hours.
